Available via the 'Audit -> Edit' menu item and requires the user to have full access to the Audit menu (administration privileges).
To edit an audit that has been scheduled open this form and locate the audit in question on the calendar view in the right panel. Click once only on the desired audit to select it and transfer the audit title and system to the left panel. The top image indicates this having been completed.
It is important to use this form to record each step of the Audit, including:
Setting the Audit Scope
Setting the scope of the initial scope of the audit is completed with the appointment form closed.
Select a system Element and then select the desired risk to assess from the dropdown list. When a risk is selected from the risk list the Untreated and Residual risk guages are populated.
Note. If the risk has never been assessed then the residual risk guage will be empty and the yellow caution label will be visible.
If the risk is to be assessed click the 'Add' button to add the risk number to the 'Selected Risks' box. Repeat as required until the scope of the audit is completed.
To remove a risk from the audit click once on the risk number in the selected risk box and then click the 'Remove' button to remove the risk from the audit scope.
The 'Open Risk History' button is provided to review past risk assessment results. When clicked it opens the Risk History page in a popup window to view risks results from previous audits.
When the scope of the audit is set click the yellow 'Add to Audit' button. This action commits the selected data to the database and refreshes the calendar.
To assign personnel to an audit locate the audit in the calendar and double click it. This opens the appointments form.
Assign resources by clicking on the resource drop down list and checking the boxes of the persons name to assign to the audit. Indicate in the scoping area who is assigned as the lead auditor if more than one resource is assigned.
Notify the lead auditor the he/she has been assigned to the audit.
The lead auditor is responsible for notifying any other personnel that they have been assign to the audit.
Click Save And Close button on the appointment form when editing is completed.
Changing Status and Dates
Tracking the progress of the audit is the responisbility of the lead auditor. Change the status as the audit enters each phase. The 'Audit Completed' status is to be selected when the audit report is submitted for review.
Change the dates as required to provide an accurate picture of the audit progress.
If the audit has to be rescheduled then either drag the event to the new date or open the appointment and select the new start and finish date.
Changing the audit status to 'Audit in Progress' sets the actual start date in the database. Changing the status to Audit Completed sets that actual finish date in the database.
Clicking the reset button removes any risk numbers from the 'Selected Risk' box and resets the rest of the form to the opening status.
